The Document Control Specialist supports records management operations by tracking, maintaining, and monitoring the movement of physical and electronic records throughout their lifecycle. This role ensures accurate documentation, secure handling, proper storage, and timely disposition of records in accordance with established procedures and client requirements.

Track and maintain the location of records using computer-based tracking systems.
Scan bar-coded boxes and update record locations within electronic databases.
Monitor the movement of records from initial receipt through final archiving or destruction.
Perform database backups and maintain data integrity within tracking systems.
Coordinate the pickup, shipment, storage, and delivery of records.
Maintain logs documenting receipt, transfer, shipment, and disposition of records.
Conduct records searches and retrievals in response to client requests.
Archive records and facilitate document destruction in accordance with established procedures.
Prepare periodic inventories of stored records to ensure accuracy and accountability.
Interpret specific instructions and prioritize multiple tasks in a deadline-driven environment.
Apply problem-solving techniques to resolve tracking discrepancies and logistical challenges.
Lift and move medium-weight boxes and materials as required during daily operations.
Ensure compliance with records handling policies, security requirements, and operational procedures.
Approximately two (2) years of experience in records management, document control, logistics coordination, or a related field.
Experience using computer-based tracking or database systems.
Ability to maintain accurate logs and tracking documentation.
Strong organizational skills and attention to detail.
Ability to prioritize multiple tasks and meet deadlines.
Basic understanding of records lifecycle management principles preferred.
Ability to lift and move medium-weight materials throughout the workday.
Strong communication skills and ability to respond to client inquiries.
Ability to work in a structured, process-driven environment.
Associate’s Degree (AS/AA) required;
OR equivalent combination of education and relevant experience.
