Overview

Provide general support to the Program Manager through identification of Program requirements and deliverables; and provide additional oversight and management for delivery of services to the Buyer. The overall objective of the Project Coordinator is to establish and refine processes to enable the Program Manager and team members to provide consistently superior, cost effective delivery services.

Responsibilities

Assist the Program Manager with daily oversight of activities, deliverables, and in providing program direction and guidance. These Tasks include, but are not limited to:

 

  1. Work with Program team members to define and document project tasks and milestones.
  2. Develop a firm knowledge and understanding of project scope in order to lead the team to successfully satisfy all requirements of the contract.
  3. Determine and calculate Program projections, recording and reporting of all related financial data.
  4. Manage customer expectations regarding project scope, execution, timelines, and deliverables.
  5. Coordinate with Program team members to ensure resources are allocated towards working on the right tasks at the right time, with clear expectations of satisfactory completion of milestones and goals.
  6. Analyze and troubleshoot delivery issues quickly and thoroughly.
  7. Responsible for assisting with timecards for OCONUS employees and ensuring hours are correctly charged against the appropriate project codes.
  8. Assists in all travel arrangements including, but not limited to, flights, hotels, and rental vehicles.
  9. Ensures all expense reports are accurate and entered into the accounting system in a timely manner and verifies that they are processed.
  10. Set up and follow up on required employee medical and dental screenings and background reports.
  11. Assists with generating and approving invoices, purchase orders, and other billing functions.
  12. Assimilates and disseminates information to supporting staff.
  13. Generates electronic and hardcopy documents, maintains filing system, and coordinates meetings, briefings, and team activities.
  14. Maintains subject and project files of correspondence, program documents, and reports.
  15. Schedules and supports regular and ad hoc meetings.

Qualifications

At least one year of experience in a services and/or product delivery or equivalent role.

  • Excellent written and verbal communication skills.
  • Demonstrated skill at presenting material to technical and line/operational management.
  • Moderate to high Expertise in use of Microsoft Outlook, Project, Excel, Word, and PowerPoint.
  • Self-sufficiency in problem solving and knowledge acquisition from resources throughout the company.

Education

Bachelor’s Degree

  • Four years of relevant experience may be substituted for the bachelor’s degree; this experience substitution would be in addition to any required minimum experience identified.

Candidates must be local to Tampa, FL, within a commutable distance to 33634

 

Work Schedule:
This position follows a hybrid schedule, with remote work on Tuesdays and Thursdays and on-site work on Mondays, Wednesdays, and Fridays. Core business hours are 9:00 AM to 4:30 PM, with flexibility outside of those hours as approved by the supervisor.

 

Occasional after hours support as needed to support OCONUS travel requirements.
