Overview

The objective of this position is to provide security and administrative support to the Department of Commerce Office of Security at the National Institute of Standards and Technology Headquarters in Gaithersburg, Maryland.

 

The selected candidate will support a customer-facing security office responsible for badging, credentialing, fingerprinting, access-card services, visitor assistance, records and database maintenance, and related administrative security functions. The position requires strong customer service, attention to detail, professionalism, and the ability to manage a varied workload in a busy service-counter environment.

Background

The Department of Commerce Office of Security supports the protection of Department personnel, facilities, property, information, and assets through Department-wide security policies and multidisciplinary security programs.

 

At NIST Headquarters, this position provides direct security-office support to employees, contractors, visitors, senior officials, and other customers requiring credentialing, fingerprinting, building-access, and related administrative services.

Responsibilities

  • Provide professional customer service at security service counters to Government personnel, contractors, visitors, senior executives, and other customers.
  • Explain security-office processes and provide timely and accurate information to customers and staff.
  • Manage a multi-line telephone system, including answering incoming calls, transferring callers to appropriate personnel, and recording clear and accurate messages.
  • Take photographs for passports, visas, Government-issued badges, and related credentialing purposes.
  • Program access cards and produce finished badges.
  • Process fingerprint requests for Security Office customers.
  • Support high-volume customer activity, which may include significant numbers of telephone calls, fingerprint requests, and other daily service transactions.
  • Enter and maintain information in Government databases supporting building access and related security functions.
  • Verify biographical and security information.
  • Process visit requests.
  • Track physical security assets such as badges, keys, and related accountable property.
  • Maintain calendars for office management and schedule meetings.
  • Attend senior-level meetings as required and prepare accurate meeting notes or minutes.
  • Proofread, copy, package, organize, and distribute memoranda, correspondence, and other information.
  • Run and review routine reports as instructed.
  • Develop and maintain electronic and physical filing systems.
  • Perform data entry and recordkeeping using Microsoft-based applications and Government systems.
  • Assist with supervised inventories of office equipment and accountable property.
  • Perform timekeeping support for office staff.
  • Prepare and submit travel documentation for staff as required.
  • Develop and maintain Standard Operating Procedures for applicable office processes.
  • Demonstrate strong customer-service skills both in person and by telephone.
  • Work effectively both independently and as part of a team while balancing the needs of multiple customers.
  • Advise management on administrative and procedural matters within the scope of the position.
  • Develop and communicate information effectively, both orally and in writing.
  • Perform word processing, data entry, and other general administrative security duties as assigned.

Qualifications

Required

  • Approximately four years of relevant experience.
  • Experience with NBIS/eAPP, CVS, and DISS.
  • Suitability and/or security adjudication experience.
  • Strong customer-service skills and ability to interact professionally with Government officials, senior executives, employees, contractors, visitors, and the public.
  • Ability to accurately enter, review, and maintain sensitive information and records.
  • Strong organizational skills and ability to prioritize multiple responsibilities in a busy customer-facing environment.
  • Strong oral and written communication skills.
  • Ability to exercise sound judgment, tact, professionalism, and discretion.
  • Proficiency with Microsoft Office applications and general office systems.

Preferred

  • Experience supporting a Federal security office, customer-service center, Pass and ID office, or similar environment.
  • Experience with fingerprinting processes and equipment.
  • Experience producing Government badges or credentials.
  • Experience programming access cards or supporting physical access-control systems.
  • Experience with Government visitor-management, badging, or credentialing systems.
  • Experience taking passport, visa, or credential photographs.
  • Experience maintaining security, personnel, access-control, or other sensitive databases.
  • Experience with office timekeeping, travel documentation, records management, and meeting support.
  • Experience developing or maintaining Standard Operating Procedures.

Education

B.S. degree or equivalent in Business or a related discipline.

Monday through Friday, generally 8:00 a.m. to 4:30 p.m.

 

This is primarily an onsite position due to the hands-on fingerprinting, credentialing, access-card, and customer-service responsibilities.

Compensation

The compensation range for this position is $35.30- $55.15 per hour. Compensation will be discussed in greater detail with candidates who advance in the interview process, allowing for a comprehensive evaluation of qualifications and alignment with role requirements.

Final compensation will be determined at the Company’s discretion based on a variety of factors, including but not limited to relevant experience, skills, education, internal equity, geographic location, and contract requirements. Not all candidates will be eligible for the upper end of the salary range.
